Primary Purpose

This position is responsible for applying in-depth USRAP knowledge to process and implement policies for cases throughout the USRAP Programs pipeline. This includes processing cases through the various case processing stages including; Acceptance to Program, Prescreening, USCIS Support, Correspondence, Medicals, Assurance, Cultural Orientation and Travel. This position contributes to the overall case management of the USRAP pipeline.

 

Working Environment

  • Travel to the field as may be required.

Responsibilities

Program Administration  (50%)

  • Ensure high‑quality refugee processing through strict adherence to CWS/RSC Africa, Department of State (DOS), USCIS, and Refugee Processing Centre (RPC) policies, procedures, eligibility criteria, and data‑management standards.
  • Execute assigned refugee case processing tasks accurately and within established timeframes, in line with approved policies and procedures.
  • Maintain complete, accurate, and up‑to‑date case records, including timely and correct updates in START.
  • Serve as a Programs Processing Point of Contact for assigned case processing activities, supporting effective coordination and timely task completion.
  • Support Program Processing Supervisors in the development of training schedules and delivering training sessions as requested.

Compliance (30%)

  • Conduct case processing activities in accordance with policies and procedures issued by PRM, RPC, and CWS/RSC Africa.
  • Support the development and updating of Processing Guides
  • Perform regular quality control checks and ensure that all case updates in START are completed accurately and in compliance with established standards.

Representation and Engagement (10%)

  • Maintain effective working relationships with RSC implementing partners, including PRM, IOM, UNHCR, RPC, and domestic Resettlement Agencies, to support coordinated and compliant refugee processing.
  • Represent and promote organizational policies, procedures, and values through professional conduct and consistent communication with staff and partners. 

Additional Responsibilities (10%)

  • Undertakes additional work-related duties as agreed upon by Programs leadership to support Programs and CWS/RSC Africa, including administrative tasks
  • Any other duties as assigned

 

Qualifications

Experience:  

  • A minimum of four (4) years relevant paid work experience required.
  • Previous experience conducting trainings or presentations preferred.

 

Skills:  

  • Demonstrated written and spoken fluency in English, with strong verbal and written communication skills.
  • Strong interpersonal and diplomacy skills, with the ability to work effectively in a multicultural environment.
  • Strong computer skills, with Microsoft Office applications;
  • Excellent organizational and time management skills.
  • Excellent organizational, planning, and time‑management skills, with the ability to prioritize tasks and meet deadlines.

 

 

Education & Certifications:  

  • Bachelor’s Degree in a relevant required.

 

Abilities:  

  • Strong attention to detail with the ability to maintain high performance standards and meet set deadlines.
  • Sound judgment and problem‑solving skills, with the ability to seek guidance when faced with unexpected challenges.
  • Ability to manage a large and diverse workload under pressure while maintaining professionalism with colleagues, partners, refugees, and stakeholders.
  • Ability to adapt to urgent priority changes including and not limited to primary assigned tasks changing in short notice.
  • Maintain the integrity of official records.

Special Requirements

 

  • This position is full time and based in Nairobi, Kenya.
  • This position always requires use of laptops, competence in Microsoft office packages is required.
  • This position involves a range of work environment and functional requirements, including but not limited to the following. 
    • This position requires the use of a computer screen and headphones for extended periods.
    • This position requires strong typing ability, including maintaining accuracy and efficiency when entering information over prolonged durations.
    • This position requires the ability to work effectively in a shared, open plan workspace.
  • The candidate must be willing and able to travel on short notice. Must have proof of Yellow Fever vaccination before traveling for RSC Africa.
  • Having a valid passport (including sufficient pages for travel), is recommended.
  • Ability to travel for work assignments internationally when the need arises.
  • Background check which includes references, and an educational and criminal check is required before the start of employment.
  • All employees should be prepared to work from the CWS office within their location of hire.
