Primary Purpose

The Human Resource Officer- Generalist reports directly to the Human Resource Manager with a matrix supervisor to the L & D Manager.  He/she will play a pivotal role in the day-to-day delivery of HR services and implementation of broad HR activities at CWS. The incumbent will provide support in the areas of Compensation and Benefits, Talent acquisition, general HR administration,  Learning and Development  while support the implementation of HR policies, Systems and procedures compliance .

Responsibilities

Talent Acquisition (20%)

  • Support the end-to-end Recruitment Cycle (post vacancies, short-list CV’s, arrange interviews, maintain candidate employment applications, conduct reference checks, extend offers, send regrets letters to unsuccessful applicants, update recruitment report, etc.) 
  • Support the selection process  for candidates by liaising with managers and other stakeholders
  • Support  the internal recruitment process for compliance with CWS  recruitment policy
  • Facilitate interview schedules and support the hiring process to identify best fit for candidates
  • Plan interview and selection procedures, including screening calls, assessments and  participate in-person interviews 
  • facilitate  compensation and benefits determination decision for candidates  as may be required.

 

HR Administration and record    (25%)

  • Update HR information on SharePoint and other organizational databases at all times.
  • Manintain accurate HR records , staff contracts tracking for compliance with the labor law and CWS HR policy.
  • Monitor and extract report for  all  leave utilization record s in CWS HRIS -  UKG System.
  • Monitor sick off trends and save  medical records and ddress any inquiries
  • Facilitates staff correspondence including introduction or background checks  letters  ,Bank, Visa, Sacco, institution onrequest.
  • ensure HR documentation always meets audit and legal standards.
  • Prepare quarterly turnover rate report, employee exit survey reports  & any other report relating to separation.
  • Facilitate separation process including sharing  clearance forms, exit surveys & pension forms for staff on exit
  • Notify different units/departments on staff separation  provide guidance on the exit process 
  • Coordinate  final dues payment and issuance of Certificate of Service
  • Ensure discharge vouchers are completed and shared with the separating staff for sign off.

 

 

Learning and Development (25%)

  • Support the design and implementation of learning and development programs in collaboration with CWS Africa management
  • Monitor, track, and report on completion of all trainings, including  annual and mandatory
  • Support coordination of new staff orientation in collaboration with HR Colleagues
  • Maintain accurate and up-to-date training records, including attendance sheets and training logs
  • Manage the CWS Africa L&D calendar by scheduling sessions, booking venues, and ensuring timely sharing of invitations to participants
  • Prepare training and dry run schedules
  • Develop and share a monthly training calendar
  • Contribute to the monthly CWS Global HR Press by developing and providing CWS Africa HR content
  • Partner with HR colleagues and management to assess and identify organizational and individual training needs
  • Facilitate enrollment of eligible staff into eMS courses, and track completion through system generated reports
  • Follow up on post-training requirements, including evaluations, feedback collection, and application of learning

 

Staff engagement and wellbeing (10%)

  • Support the coordination of  workplace wellness initiatives that support employees’ wellbeing,
  • Maintain a record of  employee engagement programs (e.g., surveys, recognition initiatives, team-building activities) and alignment with organizational values.
  • Work in collaboration with the HR team to monitor and track activities for CWS staff annual wellness calendar records

Employee Relations and compliance (10%)

  • Provide support to disciplinary and investigation processes as guided by the HR Manager.
  • Offer support in taking Minutes & preparing reports.
  • Provide support to schedule disciplinary hearings.
  • Undertake filing of disciplinary records.

Performance management (10%)

  • Work in close collaboration with HR manager on the  implementation of HR performance systems, and compliance  to strengthen CWS performance culture
  • Support performance management processes, including goal setting, appraisals, and corrective action plans.
  • Maintain accurate and up-to-date HRIS employee performance records,
  • Support performance management training for staff and managers
  • Track staff development goal record for annual review with unit managers.

Qualifications

Experience:

  • A minimum of Four (4) years’ work experience in Human resource management as a HR generalist is required
  • Excellent planning and organizing skills, with ability to work under minimum supervision.
  • Demonstrated experience working with Human Resources Information Systems (HRIS), experience working with UKG system is an added advantage
  • Good working knowledge of Kenya labour laws and human resource best practices.
  • Excellent communication, report writing and presentation skills.

 

Skills:

  • Strong analytical skills with the ability to understand, process, and document information
  • Strong computer skills, in particular Microsoft Excel, Word, Outlook and Access
  • Excellent English communication skills, both oral and written
  • Excellent organizational and time management skills
  • High degree of confidentiality, integrity and honesty.

Education & Certifications:

  • Bachelor’s degree in Human Resources Management or related field.
  • Certified Human Resource Professional course (CHRP) is preferred.
  • A member of Institute of Human Resource Management (IHRM)

 

Abilities:

  • Work independently and contribute to overall HR operations
  • Analyze and solve complex problems and make sound decisions.
  • Maintain a high-performance standard with attention to detail. 
  • Maintain the integrity of official records.
  • Work with minimal supervision.

Special Requirements

  • This is an onsite position is based in Nairobi, Kenya
  • This position requires use of laptops at all time, competence in Microsoft office packages is required.
  • Background check which includes references, and an educational and criminal check is required before the start of employment.
  • This position is Full time.
  • All employees should be prepared to work from the CWS office within their location of hire. Remote work arrangements may vary depending on location and the governing rulings regarding the prevailing context.
